Fitting a Depot Wash Into the Turnaround Window

A depot wash fits your operation when it finishes inside the time the vehicle is already stationary, with a little room left over. That is the real test, and it is a different question from the one on most spec sheets. The headline figure a supplier quotes is peak throughput: vehicles per hour under ideal, continuous conditions. What you actually need to know is whether one bus, or one lorry, can be positioned, washed, dried and cleared before it is due back out on the road. Judge the wash against the window, not the window against the wash.

The window is set by operations, not by the machine

Every vehicle in a depot has a stationary period between its last duty and its next dispatch. For a bus that might be the gap between the last passenger off and the next pull-out. For a haulage tractor it might be a refuel and a driver break. That period is your turnaround window, and it is already spoken for. The driver has a walk-around to complete, there may be a data or farebox pull, refuelling, and the vehicle has to be repositioned more than once. A wash cycle has to slot into what is left, not lay claim to the whole slot.

This is why a fast rated cycle can still be the wrong choice. If the wash consumes every spare minute and leaves no buffer, the vehicle either misses its wash or misses its dispatch. Neither is acceptable, and the second one costs you far more than a dirty roof.

Count the whole stop, not just water-on-vehicle time

When you model turnaround fit, budget for the full sequence rather than the cycle time alone. In practice that means:

  • Positioning and entry. Getting the vehicle squared into the bay or onto the track, which for a long vehicle in a tight depot is rarely instant.
  • The wash cycle itself. The figure most people fixate on, and the one part that is genuinely fixed.
  • Dry or blow-off. Often skipped in the mental sum, yet it decides whether the next driver climbs into a streaked cab.
  • Clearance and drainage. The bay has to drain and the vehicle has to move off before the next one enters.
  • A buffer for the driver’s duties. The part that separates a schedule-compatible wash from one that only looks fast.

Add those together and compare the total against your shortest realistic window, not your average one. A wash that fits on a quiet afternoon but overruns during the morning peak is a wash that fails when it matters.

Why the window beats vehicles-per-hour

Peak throughput describes a wash running flat out with vehicles queued nose to tail. A depot almost never runs that way. Vehicles arrive in bursts, positioning takes time, and a single hold-up empties the whole benefit of a high rated figure. For depot planning the honest question is per-vehicle: does one pass finish in time? Answer that for your tightest window and the hourly maths takes care of itself.

The wash is competing for the same minutes as compliance

The turnaround window is not empty time. For commercial passenger and freight fleets, mandatory checks share it. Under the federal rules for motor carriers of passengers, drivers must complete a daily written post-trip inspection report at the end of each driving day, and vehicles need periodic inspection at least once every twelve months. Before the vehicle rolls again, the driver has to be satisfied its parts and accessories are in good working order under section 392.7. Those duties happen in the same stationary slot as any wash cycle. A wash that leaves no room for them is not just inconvenient, it pushes against compliance time. Plan the plumbing and the footprint, not just the arch

What sits behind the wash bay affects whether it fits a depot at all. Reclaim and pretreatment equipment, separators, settling tanks and filtration, has its own footprint and its own maintenance cadence, and you need site access for sludge and tank pump-outs alongside the bay. Water recovery is worth designing in: EPA’s guidance describes reclamation systems that treat wash and rinse water from previous cycles for use during the next vehicle wash, and one operator reported by the International Carwash Association reclaims up to 80 per cent of its water at around 30 gallons per vehicle. Treat that as a single-site example, not a promise, but the principle holds.

Discharge volume also shapes your obligations. Under EPA’s pretreatment programme, a facility can become a significant industrial user if, among other criteria, it discharges an average of 25,000 gallons per day or more of process wastewater to the public sewer. Depots that also clean tanker interiors should note this sits under a different regulatory frame from exterior washing. Drainage and egress are a scheduling issue too

A wet bay that drains slowly holds up the next vehicle, and a slippery walkway holds up the driver. OSHA and the International Carwash Association have run a formal alliance since 2005 focused on reducing slips, trips and falls and vehicle operation hazards around washes. Good drainage, sound walkway surfacing and clear driver egress inside the turnaround area keep the sequence moving and keep people safe at the same time.

Financing a fit, not just a machine

If fitting a wash means building a new bay rather than retrofitting an existing footprint, the cost sits in the construction as much as the equipment. The US Small Business Administration’s 504 programme offers long-term fixed-rate financing for major fixed assets, and its 7(a) programme can cover improving real estate and buildings. Eligibility is lender and project specific, so treat this as context for the conversation rather than a settled route.
